Sharing

Share selected release information

Prepare a shareable music release view, create a password-protected link with selected sections, and revoke access when needed.

A campaign sheet can contain details for several audiences. Rollout’s shareable view helps you prepare release information for someone outside the signed-in workspace, with password-protected links and a choice of sections.

Choose the right view

Open a release’s cheat sheet and choose Share. The heading changes to Shareable, and the toolbar offers Sharing links. Use Back to internal version to return to the team’s view.

The shareable view omits internal checklists and some internal release details. It still presents release information such as the artist, title, artwork and relevant release facts. Read the result before you share it; selected sections can contain contacts, unpublished dates or other information you may not want every recipient to see.

  1. As an editor or admin, open Sharing links.
  2. Under New sharing link, give the link a useful name, such as “Press kit” or “Playlist pitch.”
  3. Select the sections appropriate for that recipient. At least one section must be selected.
  4. Choose Create link. Rollout copies the link and displays its generated password.
  5. Send the intended reader the link and password. They can open the selected view without a Rollout account.

A sharing link is different from copying the address of a signed-in release. Use the sharing controls when the recipient is outside your workspace. Treat the link and its password as access to the information shown, and give them only to intended recipients.

Manage existing links

Return to Sharing links to see the named links for that release. Show password displays a link’s password again. Revoke ends access through that link; the confirmation explains that anyone using it loses access immediately.

Revoking a link cannot retrieve information a recipient has already copied or downloaded. Check the selected content before sending it, and revoke a link when that audience no longer needs access. Use a separately named link for a different audience so it is clear which access you are managing.
